You do not need to prepare anything. Tell us what happened and where the materials are, and we will do the rest — chase the files, write the entry, and check with you before anything goes up.

This goes to the SGN Secretary and the website maintainer — nobody else — and it is not published anywhere until you say it can be. If the materials are only sitting in an old email, that is completely fine: say so and we will take it from there.
